Outing Caddie is operated by Little Dove Dev LLC ("we", "us"). This policy explains what we collect, why, who else can see it, and what you can ask us to do about it. It covers the Outing Caddie iOS and Android apps and the outingcaddie.app website.
The short version
- We collect what the app needs to run your golf outing: your name, email, golf handicap and tee, the scores you enter, and anything you post in chat.
- Other people in your outing can see most of it. That is the point of a shared leaderboard. See "What other people can see".
- We do not sell your personal information, and we do not track you across other apps or websites for advertising.
- The website measures marketing performance with Google Analytics and, if enabled, a Meta pixel. The apps do not.
1. Information we collect
1.1 Account information
When you create an account we collect your email address and name. If you use Sign in with Apple, Apple sends us an identifier and either your real email or a private relay address, depending on your choice; we never receive your Apple password.
Authentication is handled by Firebase Authentication (Google LLC). We store your name in your player record; your password is held by Firebase and is not accessible to us.
1.2 Golf and outing information
To run an outing we store, associated with your account:
- Your golf handicap, assigned tee, and roster flags an organizer sets (for example whether you are playing a given year, or are a senior tee player)
- The outings you belong to, and whether you organize or administer them
- Hole-by-hole scores you or your group's scorekeeper enter, and which player's drive a team used on each hole in Scramble and Shamble rounds
- Closest-to-the-pin distances you record
- Group and tee-time assignments
1.3 Content you create
- Chat messages, including reactions, replies, mentions, and any photos or GIFs you attach
- Your profile photo, if you add one
- Champion's Club photos and written stories, if your outing uses that feature and you contribute to it
Photos are stored in Firebase Cloud Storage.
1.4 Purchase information
If you buy an Organizer subscription or an Event Pass (currently offered in the iOS app), the purchase is made through Apple's App Store, which handles the payment — we never receive your payment card details. To provide what you bought, we store purchase records associated with your account: your subscription status and renewal period, the number of event launches used, any Event Pass credits, and an Apple transaction identifier that ties the purchase to your account.
1.5 Device and technical information
- A push notification token (Firebase Cloud Messaging), so we can send you chat and outing notifications. It is cleared when you sign out.
- On Android only, the app includes Firebase Analytics and Firebase Crashlytics, which collect app-usage events and crash diagnostics (including device model, OS version, and a crash stack trace). The iOS app includes neither.
1.6 Golf course data
When you search for a course, we send the search terms to a third-party golf course data API to retrieve course and tee information. We do not send your identity with that request.
1.7 On-device AI (iOS)
iOS pairing suggestions use Apple Foundation Models, which run on your device. Player names and handicaps used for a suggestion are not sent to us or to Apple for that purpose.
1.8 Website information
If you join the waitlist we collect your email address and, optionally, your answers about outing size and format, plus the marketing campaign parameters (utmsource, utmmedium, utmcampaign, utmcontent) and which A/B copy variant you saw. We also record anonymous page and click events to measure which parts of the page work.
The website uses Google Analytics 4 and, where configured, the Meta pixel, each of which sets cookies or similar identifiers and shares data with those providers. Neither is loaded when its identifier is unset. The apps do not include either.
2. Why we use it
- Run your outing — scoring, leaderboard, groups, chat: account, golf, and content data
- Provide and honor your purchases — launching events, tracking your launch quota and Event Pass credits: purchase records
- Sign you in and keep your session: account data
- Send chat and outing notifications: your push token
- Fix crashes and improve the app (Android): Crashlytics, Analytics
- Answer support requests: account data, plus whatever you tell us
- Measure marketing and run the waitlist (website): website data
Under GDPR/UK GDPR, our lawful bases are contract (running the outing you joined), legitimate interests (security, diagnostics, product improvement), and consent (marketing email, and website analytics where consent is required).
We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are used in California law.
3. What other people can see
This matters more in Outing Caddie than in most apps, so it gets its own section.
Within an outing you join, other members can see your name, your handicap and tee, your scores, your position on the leaderboard, your profile photo, and everything you post in chat.
Organizers and administrators of that outing can additionally edit your roster entry (handicap, tee, flags), assign you to groups, enter or reset scores, and view an audit log of administrative actions.
Chat is currently shared platform-wide rather than per-outing. As a result, an administrator who clears chat history clears it for every outing, not only their own. We are changing this; until we do, treat chat as visible to the app's membership rather than only to your outing.
Archived leaderboards and champion records persist after an outing closes so past results remain viewable.
4. Who we share it with
We use these processors, each of which receives only what its function requires:
- Google LLC / Firebase — authentication, database (Firestore), file storage, push messaging, and (Android) analytics and crash reporting
- Resend — sending waitlist confirmation emails
- Vercel — website hosting
- Google Analytics, and Meta where the pixel is enabled — website measurement
- Apple — app distribution and payment processing for the paid features in §1.4; we never receive your full payment card details. Google Play — app distribution.
- A golf course data provider — course and tee lookups
We may also disclose information where legally required, to protect our rights or someone's safety, or in connection with a merger or acquisition.
Data is processed in the United States and potentially elsewhere. For transfers out of the EEA/UK we rely on the relevant provider's standard contractual clauses.
5. How long we keep it
- Account and golf data — while your account exists
- Purchase records — while your account exists; deleted with your account (this does not cancel a subscription — see §6)
- Chat and photos — until deleted by you or an administrator
- Archived outing results and champion records — kept indefinitely, as a historical record
- Waitlist emails — until you unsubscribe or ask us to delete them
- Website analytics — per the provider's retention settings
6. Deleting your account
You can delete your account from within the app. Doing so removes your account and profile. Note two limits: scores and chat messages already recorded in an outing may remain as part of that outing's record, and archived results are not removed. Where we keep such data, we de-identify it where practical.
Deleting your account does not cancel an active subscription — Apple and Google manage subscription billing, so cancel it in your App Store or Google Play account settings, before or after deleting your account.

7. Your rights
Depending on where you live, you may have the right to access, correct, delete, port, or restrict the processing of your personal information, to object to processing based on legitimate interests, and to withdraw consent. California residents have the rights to know, delete, correct, and opt out of sale or sharing — we do not sell or share as defined there. We will not discriminate against you for exercising any of these rights.
Email us at the address in §9. We may need to verify your identity first. You may also complain to your local data protection authority.
8. Children
Outing Caddie is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has given us information, contact us and we will delete it.

We aim to respond to privacy requests within 30 days. To report abusive or objectionable content in the app, use the in-app Report control (touch and hold any chat message) or email the address above — reports are reviewed within 24 hours.

We will update the date at the top when this policy changes, and will give notice in the app or by email if the change is significant.
